No. This FAQ is a general summary only. Your quote, invoice, booking confirmation, studio agreement, rental agreement, event agreement, and any written terms we send you will control if anything here conflicts with those documents. Policies may vary depending on the size, timing, risk, and scope of your booking or rental.

Props & rentals

How do I rent from Big Baby Film Rentals?
Browse the catalogue on the Film Rentals page, build a Set with your items and shoot dates, and order right on the site. We confirm availability within 3 business hours, and rentals run on our standard weekly terms below.
Is a security deposit required?
Yes. A $2,000 refundable security deposit is required per show – e-transfer to deposits@bigbabystudios.com or cheque, returned in full after everything comes back in good condition. For TV and commercial productions, we can issue a security deposit invoice on request.
Can we rent props from Big Baby Film Rentals?
Yes. Big Baby Film Rentals carries cleared art, books, alcohol bottles, groceries, and other production-friendly items. Rental availability must be confirmed, and rentals are subject to our standard rental, payment, hold, late return, and loss and damage policies.
Are your props cleared for camera?
Our inventory is created or sourced for on-camera production use. Cleared art is sourced from licensed or public domain materials where applicable, and our custom product labels and fake brands are created using original, non-branded assets. How long can we rent items for?
Production rentals are generally weekly. The rental period begins on the pickup date and runs for seven days, with one additional grace day unless we tell you otherwise. If items are not returned by the required return time, an additional rental week may be charged.
Can we rent for less than a week?
Generally no. The standard minimum rental period is one week unless we agree otherwise in writing.
Do you offer extended rental discounts?
Extended rental discounts may be available. A typical structure is: first week at full price, second week at 75%, third week at 50%, and fourth week onward at 25%, unless your quote or agreement says otherwise.
Can we place items on hold?
Yes, subject to availability, up to 2 weeks in advance. We may ask for your contact information, hold date, expected rental dates, and production details. Please only hold items you genuinely expect to use, and let us know as soon as possible if items can be released.
Can items be taken on memo?
We generally do not allow items to be taken free of charge on memo. If you need production designer, director, or client approval, we may allow a limited same-day approval rental at a discounted day rate. If items are kept beyond the approved period, the full weekly rental rate may apply.
What happens if rental items are lost, damaged, opened, altered, or not returned?
You are responsible for loss, theft, breakage, missing parts, abnormal wear, opened packaging, altered labels, stains, frame damage, broken seals, and other damage while items are in your possession, in transit, on set, or not returned. Loss and damage charges are based on repair cost, replacement value, labour, materials, and lost rental availability.

Orders, pickup & payment

When will my rental order be ready?
We do not pack an order until it has been confirmed verbally or in writing. At confirmation, we can estimate pickup timing. Order readiness depends on item availability, order size, and how busy we are. Rush orders cannot be guaranteed.
What payments do you accept?
Credit card online at checkout, e-transfer to payments@bigbabystudios.com, or cheque. Production accounts are generally Net 30.
What are your payment terms for production rentals?
Payment terms may vary by account, but invoices are generally due within 30 days unless otherwise agreed. If payment is overdue, we may pause additional orders, remove discounts, charge late fees or interest where permitted, and require payment before releasing further rentals.
What if we return items early?
Early returns do not guarantee a refund. Production rentals are billed based on the confirmed rental period, and the first rental week is generally billed in full.

How do I book the Cyclorama?
Pick an open date on the Cyclorama page calendar, choose your rate and add it to cart. A 50% deposit at checkout secures the booking – credit cards accepted (the remaining 50% is invoiced after it is confirmed), and we confirm every date by email.
What does my booked time include?
Your booked time includes all access to the studio, including load-in, setup, shoot or event time, teardown, cleaning, and load-out. Late arrival does not extend your booking. If you need more time, overtime is subject to availability and billed at the applicable hourly rate, generally in one-hour increments. For larger, multi-day productions, we also offer prep and wrap day rates.
How do payments work for studio bookings?
A 50% deposit is required at checkout to hold your slot for studio and art programming bookings, and the remaining 50% is invoiced once your booking is confirmed. A date is not confirmed until the deposit and any required documents have been received and accepted.
What is your cancellation policy?
Plans change, and we get it. If you cancel 7 or more calendar days before your booking, you’re fully refunded. Within 7 days we’re not able to offer a refund, since that time is held just for you. For cancellations, no-shows, or changes within 24 hours, the full amount may still be due if it hasn’t already been paid. If something unexpected comes up, just reach out, we’re always happy to talk it through.
Do I need insurance?
For prop, art and set rentals, no. We ask for a refundable security deposit instead of insurance (usually $2,000 per show), fully returned after everything comes back in good condition. For larger studio bookings or events, we’ll flag anything specific when we confirm your booking.
Who is responsible for guests, crew, and vendors?
The booking party is responsible for everyone they bring into the space, including guests, crew, contractors, vendors, performers, drivers, and attendees. This includes conduct, damage, injury, theft, parking incidents, cleaning, and compliance with studio rules.
What uses are not allowed without approval?
No illegal activity, subleasing, open flames, drilling, painting, alterations, pyrotechnics, haze/smoke, stunts, animals, amplified sound, alcohol service, ticketed events, outside vendors, or unusual equipment unless approved in writing in advance. Additional insurance, staffing, security, permits, fees, or conditions may apply.

Can we use the cyc wall?
Yes, but the cyc must be treated carefully. Do not step on the curved cove, drag equipment, drill, paint, tape, or attach anything to the cyc without written approval. Protective footwear, mats, or other precautions may be required.
Are there repaint or repair fees?
Yes. Repaint and repair fees start at $150 per affected wall or floor section and may be higher depending on labour, materials, downtime, or the extent of damage. A fresh paint fee may also apply where requested or required for the booking.

Events

Can we host an event at Big Baby Studios?
Possibly. Events must be approved in advance and may require details about guest count, timing, vendors, alcohol, sound, security, ticketing, food, waste, setup, teardown, and intended use. We may require insurance, permits, staffing, security, or additional conditions depending on the event.
Can we serve alcohol?
Alcohol must be disclosed and approved in advance. Depending on the event, alcohol may require permits, licensed service, security, additional insurance, bar fees, equipment fees, disposal fees, or other conditions. No alcohol service is permitted unless approved in writing.
Can we bring outside food or vendors?
Usually, but outside food, catering, bar service, rental vendors, DJs, performers, decorators, and other third-party vendors must be approved in advance. Additional fees, insurance, cleanup, waste, or coordination requirements may apply.

Cleaning, noise & damage

What are the cleaning expectations?
You must leave the space in the condition you received it. Garbage must be bagged and placed in the proper bins, furniture reset, floors swept, and all belongings removed by the end of your booking. Excess cleaning may be billed at $50 per hour. Confetti, glitter, paint, messy materials, or unusual waste require written approval.
What happens if something is damaged?
You are responsible for damage to the studio, building, cyc, equipment, furniture, props, fixtures, rented items, and any third-party property during your booking. Repair, replacement, labour, materials, cleaning, and downtime may be charged.
What about noise or complaints?
Quiet hours and building rules must be respected. The booking party is responsible for city fines, building complaints, neighbour complaints, and any costs caused by noise, crowd control, traffic, waste, or guest conduct.

Big Baby may update these policies from time to time. Final terms depend on the specific booking, rental, event, quote, invoice, or written agreement. Nothing in this FAQ limits Big Baby’s right to charge for approved fees, overtime, additional cleaning, loss, damage, repair, replacement, labour, materials, insurance requirements, permits, or other costs caused by the booking or rental.

On our prints and artwork

Every framed print, canvas, and poster in our rental collection is a finished, physical piece that Big Baby Studios owns outright. We purchased our collection from licensed print suppliers and hold the licensing to rent these pieces out as set dressing and props.

The majority of the images reproduced across our collection are in the public domain.
